The goal was to create an autonomous sales system that could handle the entire top-of-funnel process, from lead import to booked meeting, without manual intervention.

Lead Import & CRM Sync

Leads are imported from a spreadsheet, deduplicated, and synced to a Google Sheets CRM with full tracking of engagement status.

AI Email Generation

Google Gemini AI generates personalized emails based on lead data: name, company, industry, and role, making each message feel handcrafted.

Smart Follow-up Sequence

3-email sequence with intelligent timing. The system checks if a meeting was booked before sending follow-ups, avoiding annoying already-converted leads.

Calendar Integration

Calendly integration detects when leads book meetings and automatically updates CRM status, stopping further outreach.

No-Show Recovery

Automatic detection of no-shows with personalized re-engagement emails to reschedule the meeting.

How It Works

Daily Lead Processing

Scheduled trigger pulls new leads from the import sheet, adds them to CRM, and queues them for outreach.

Each lead's data is sent to Gemini AI which crafts a unique email addressing their specific industry and role.

Emails are sent via Gmail with proper spacing to avoid spam filters. CRM is updated with send timestamps.

System checks follow-up eligibility (2+ days since last email, no meeting booked, under 3 follow-ups) and sends next sequence.

Calendly webhook fires when meeting is scheduled, updating CRM and stopping all outreach to that lead.
